Introduction to Visulate (HD)

Visulate site has 2 areas a home pages visible to anyone and secure pages which are accessed from My Visulate tab. This tab expands to show different menus

– Business tab shows partners and vendor info
– Property tab shows property information
– Tenant tab is used to maintain tenancy agreements
– Payment tab shows accounting information

Each tab has separate sub-tabs which control access to Visulate screens. Some screens are broken into separate pages

The business tab opens on Business Snapshot screen this has separate

pages for Alerts, Cashflow and Investment performance

The Business units screen is used to maintain business units. These are containers for properties.

The Partners screen is used to control access business units. Click on a user to see their contact details and the list of businesses that they are able to access.

The Vendors screen is used by a Business owner to define list of approved vendors for their business unit. It also shows a payment history for that vendor.

The property screen is used to record property details. It has 2 pages, one for property details and another for photos and documents

The estimates screen allows you to create cash flow, cap rate and cash on cash return estimates for the properties in a business unit.

The Finance screen records details of loans secured against property and maintains a valuation history.

The expenses screen is used to maintain work orders and other expenses associated with a property. It is divided into 3 pages that are used to record job details, estimates, quotes and invoices. Invoices added on this screen appear automatically on the Accounts Payable screen.

The property summary screen is an interactive income and expense report

The tenant tab is used to maintain tenancy agreements. Personal details are recorded on the People screen.

The Agreements screen maintains terms and conditions for a tenancy agreement. Visulate uses these to automatically generate a payment schedule in Accounts Receivable.

You can also use this screen to Advertise vacancies on visulate website

Tenant details and Actions screens are used to maintain contact details, payment history and Actions such as Phone calls, letters, evictions

Visulate maintains a separate chart of accounts for each business unit.

Payment rules define default debit and credit accounts for each transaction type. Each transaction is classified with a payment and transaction type. Pre-defined Rules are provided for each unique
combination. This allows Visulate to simplify double entry bookkeeping for its users

AR screen shows money we need to collect. Rows on this screen are generated automatically based on tenancy agreements.

Payables screen records money we need to pay, It works in a similar way to AR screen. Pressing the update list button generates rows based on Property Expenses.

Payment journal records Contra entries. Pressing update list on this screen generates depreciation entries.

General Ledger Screen shows account details for different accounting periods… and allows you to drill down to see transaction details for each account.

Payment reports generate Balance sheets, Income Statements, tax reports, GL and tenant statements

I think the most common mistake a business organization will make is not planning for growth. As a business grows it changes: changes affecting resources, people, equipment, space. So I think it’s critical that an organization properly plan for changes it will encounter as it grows. It’s important to note that what works well for an organization as it’s getting started in its early years may not necessarily translate to what’s going to work well for that organization as it gets larger. It’s also been my experience that the larger the organization is, the more difficult it is to keep everybody doing a good job of communicating with each other and staying on the same page.

My last point would be that a very important mistake an organization can make as it grows is not having good control of cash flow. As you grow, your inventories may need to be increased, your accounts receivable may increase, so both of those items are going to require increased amounts of cash funding. That’s another important thing to keep in mind.
